EXECUTIVE ASSISTANT – DUBLIN INTERNATIONAL PIANO COMPETITION

 

The Dublin International Piano Competition holds a special place in Ireland’s musical life, bringing outstanding young pianists from around the world to Dublin every three years. We are now looking for an Executive Assistant to join our small, friendly team from October 2026 and play a central part in everything we do, from the Competition itself in 2028 to our recitals, the Young Pianists Programme and our Schools Project.

The Dublin International Piano Competition is one of Ireland’s leading classical music events and an important platform for emerging concert pianists from around the world. Held every three years in Dublin, the Competition attracts exceptionally talented young musicians who perform demanding repertoire before a distinguished international jury.

 

Beyond the Competition itself, the organisation promotes music education and public engagement through masterclasses, outreach activities and concerts featuring internationally acclaimed artists. Over the years, the Competition has earned a reputation for discovering outstanding pianists who have gone on to develop major international careers. The Role

The Executive Assistant will work with the Executive Director and Artistic Director and report directly to the Executive Director. The Executive Assistant will run the Competition office and help to plan and manage the Competition itself.

 

The Executive Assistant will be responsible for the following work:

  •  Co-ordinating and planning the DIPC Young Pianists Programme to include entries, scheduling of auditions, venue booking/programme and all relevant administration
  • Working with the Co-Ordinator of the DIPC Schools Project to include direct involvement in the Project and all relevant administration
  • Management and updating of DIPC website
  • Management and updating of all DIPC social media platforms -creating content to include text/images & videos & maximisation of the platforms
  • Drafting and sending emails to the DIPC mailing list
  • Dealing and corresponding with up to 150-200 international candidates
  • Helping with the management of the application process for the Competition
  • Populating, maintaining and updating all DIPC databases through Microsoft Excel
  • Performing all administrative duties for the Keyholders, Patrons & Friends of the DIPC, to include managing PayPal donations and bank standing orders
  • Assisting with the preparation and planning of all recitals and events promoted by DIPC
  • Preparation of all programmes for recitals, invitations to events, including attendance at concerts/recitals, promotion, issuing press releases, organising seat allocations and distribution of tickets
  • Attending DIPC Board / AGM & other relevant meetings and reporting to the Board where necessary

 

Qualifications and Skills

Candidates should have experience in an administrative capacity, be a self-starter, have proficiency in Microsoft Word, Excel, Canva and be comfortable in working for and supporting the DIPC with a high-quality, detail-conscious approach to the work and role. The ideal candidate will have some digital marketing skills and some knowledge and appreciation of classical / piano music.

The Executive Assistant will work at the Competition office in Baggot Street, Dublin 4 and can also work some hours from home, if desired and with the agreement of the Executive Director. Evening work during events and the busy triennial Competition period are an essential component of the job.

The time requirement will be 3.5 days per week until September 2027 and 4 days per week from September to December 2027, after which the situation will be reviewed in advance of the 2028 Competition.

 

Remuneration

The remuneration scale is €31,000 p.a. (3.5 days per week), with a rising scale to four days per week (days / scale subject to discussion and agreement in advance by DIPC).

The position is permanent part-time.

The Artistic Director is the renowned Irish pianist Finghin Collins, while the Executive Director is the highly experienced arts administrator, Adrienne Carolan. The Executive Assistant will work closely with both of these colleagues.
